Privacy Policy
How FixMinBil ApS processes your personal data when you use the platform. We collect only what we need — and nothing more.
The data controller is MediaMax ApS (CVR 43055593), [TODO: ADRESSE], Copenhagen. You can contact us at info@mediamax.dk with any questions about your personal data.
Account data (name and email) — We process this information to create and manage your account and to send you relevant notifications about your jobs. The legal basis is the performance of a contract under GDPR Art. 6(1)(b).
Vehicle data (registration plate, VIN, make, model, year and fuel type) — We use this to match your job to suitable workshops and to pre-fill the job form correctly. A registration plate alone is vehicle data; combined with account data it can identify the individual and is therefore treated as personal data. Legal basis: contract performance, Art. 6(1)(b).
Job data (problem description, photos and video of the car, job type, and postcode/address of the job location) — This information is necessary to give workshops a sufficient basis for an accurate fixed quote. Legal basis: contract performance, Art. 6(1)(b).
Phone number (optional) — We only process this if you choose to provide it. Legal basis: your consent under Art. 6(1)(a). You can withdraw consent at any time by deleting the number from your profile.
Workshop data (company name, CVR number, address, city, postcode, specialisations, bio) — We validate the CVR number on registration and verify business status on an ongoing basis. Legal basis: contract performance, Art. 6(1)(b), and compliance with a legal obligation (know-your-business), Art. 6(1)(c).
Billing data for workshops (subscription and payment data) — Payment data is handled by Stripe as a data processor and is never stored in FixMinBil's own systems. Legal basis: contract performance and legal obligation (Danish Bookkeeping Act), Art. 6(1)(b) and (c).
We share your data with other users only to the extent necessary for the service: workshops see the full job description, photos/video, job location, and the car owner's first name. Car owners see the workshop's company name, city, and badge status. We never sell personal data to third parties.
We use the following data processors: Stripe (payment processing for workshop subscriptions), Postmark (transactional email), and MediaMax ApS (server hosting on our VPS). All processors are bound by data processing agreements and may only process data on our instructions.
Stripe and Postmark are US-based companies. Transfers to the US are based on the European Commission's Standard Contractual Clauses (SCCs). You can request a copy of the applicable safeguards by contacting us.
We retain your data for as long as your account is active and for up to 3 years afterwards in case of legal claims. Accounting records (billing) are retained for 5 years in accordance with the Danish Bookkeeping Act. Job and quote data is deleted 3 years after the job closes.
You have the following rights under GDPR Art. 15–22: the right to access the data we hold about you; the right to rectification of inaccurate data; the right to erasure ("the right to be forgotten") where the regulation permits; the right to restriction of processing; the right to data portability (data you have provided); and the right to object to processing.
To exercise your rights, contact us at info@mediamax.dk. We respond within 30 days. Some rights may be limited by legal obligations, such as the retention requirements of the Danish Bookkeeping Act.
You have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, DK-2500 Valby, dt@datatilsynet.dk, datatilsynet.dk, if you believe we are processing your data in breach of data protection law.
We do not use automated decision-making or profiling that has legal or similarly significant effects on you, as referred to in Art. 22.
The service log's maintenance assistant (E11) is a deterministic, rules-based system — no personal data is sent to an external language model or external service. The assistant only runs if you explicitly consent via your garage page, and consent is stored with a timestamp. You can withdraw consent at any time.
